Using Checklists to Run Repeatable Digital Campaigns

Digital campaigns — for events, fundraisers, or product launches — can feel chaotic when everything lives in someone’s head or scattered notes.

A simple checklist can make your work more repeatable and less stressful, especially when you have rotating staff, volunteers, or student teams.

At Volta NYC, student pods often create campaign checklists for the organizations they work with so future efforts are easier to run. Here’s how you can adopt the same approach.

1. Map your campaign stages

Most digital campaigns follow a similar arc:

  • Planning
  • Promotion
  • Live period
  • Follow-up

For each stage, list the tasks you typically handle. Don’t worry about order yet — just get everything out.

2. Turn tasks into a checklist

For example, for an event campaign:

Planning

  • Define the goal (attendance, sign-ups, donations)
  • Confirm date, time, location, and speakers
  • Create a registration form or ticket link

Promotion

  • Draft and schedule email announcements
  • Create social posts (graphics + copy) for each platform
  • Update the event on your website

Live period

  • Post day-of reminders
  • Share behind-the-scenes photos or clips

Follow-up

  • Send thank-you email and post-event survey
  • Share key highlights and outcomes online

3. Assign owners and deadlines

A checklist is more powerful when it’s clear who does what.

  • Add a column for "Owner" next to each task
  • Add another for "Due date" relative to the event or campaign start

This makes it easier to bring in student collaborators or new staff.

4. Improve the checklist over time

After each campaign, take 15 minutes to:

  • Mark which tasks were unnecessary
  • Add any missing steps
  • Note what you’d change next time

Your checklist becomes a living document that captures institutional knowledge.

Checklists may sound simple, but they’re one of the most effective tools for running consistent digital campaigns with limited capacity.

If you’d like help designing or digitizing these workflows, student teams through Volta NYC can work with you to create practical, easy-to-use checklists that match your channels and audience.
